Sorors: Happy 100th Birthday Alpha Kappa Alpha Sorority, Inc.! The MidWestern Region requests the honor of your presence at our 78th MidWestern Regional Conference in Downtown Tulsa, Oklahoma. Our Theme is "Reaching New Milestones: A century of Excellence, Service and Progress"19082008. We invite you to come and share the historic Greenwood District in Downtown Tulsa and reflect on the MidWestern Region's contributions to the success of our sisterhood, from March 2730, 2008. We believe that you will find Oklahomans to be congenial, approachable, and friendly. The MidWestern Region is one of the oldest regions of Alpha Kappa Alpha Sorority, Inc. Many of our cherished and venerated leaders have roots here including Barbara A. McKinzie, 27th Supreme Basileus who was born in Oklahoma; Lorraine R. Green, 2nd Supreme Basileus who was born in Missouri; Edna Over Campbell, 12th Supreme Basileus who was born in Kansas, and initiated in the Delta Chapter; Laura Lovelace, 13th Supreme Basileus who was born in Colorado; and Larzette Golden Hale, 17th Supreme Basileus who was born in Oklahoma and a charter member and first Basileus of Alpha Zeta Chapter. Also, Founder Ethel HedgemanLyle was the first AfricanAmerican Woman certified to teach in Oklahoma, and founder Beulah Burke established Beta Omega Chapter in Kansas City, Missouri and Mu Omega Chapter in Kansas City, Kansas and was elected MidWestern Organizer (Regional Director) in 1925. It is hard to believe that our dynamic sisterhood is embarked upon our celebration of our centennial year. We hope that you will come and celebrate the MidWestern milestones of our exceptional history as we look forward to an extraordinary future. Together, we can prepare to make our move towards our 2nd Century of magnificent moments of leadership, service and style.

The sorors of CLUSTER E, are eagerly preparing for a spectacular 78th conference! We are elated and excited to welcome all of you to Tulsa as we usher in our Centennial year! You will embark on a journey of Elegance, Sisterhood and Programs. Our four day celebration will be jammed packed with activities, educational opportunities, and fun for all Sorors. Tulsa offers a vast array of sites and activities for you and your families. Whether it's golfing, shopping or sightseeing, Tulsa has it all. The Crowne Plaza Hotel will be freshly renovated, and its staff will be ready to accommodate you in every aspect. The workshops planned will intrigue, captivate, energize and leave you spellbound. GENERAL REGISTRATION INFORMATION

Online Registration MidWestern Region will be one of four regions to pilot a new method for members to register for regional conferences. Effective January 2008, members will have the opportunity to register for the MidWestern regional conference online via the web using a credit card. An email notification will be sent to chapter basilei when the online registration is active. Members are asked to have the following information accessible in order to register for the conference once the online site is available: · Financial card number · Credit card number and billing address · **Email address used for the www.aka1908.com website **As a reminder members must use the email address that is currently on file with the corporate office in order to login to online regional registration. Members who do not have an email address on file or who wish to update their email address should do so at their earliest convenience, preferably before the end of the year. Members can update their email addresses in their profiles at www.aka1908.com under Member Login>Members Only Home (Profile)>Edit>Email Address (update the email address)>Save. Members may refer to the MidWestern Regional website at www.akamidwestern.com for the latest online registration updates. Individual Registration Individual sorors may complete the enclosed registration form and pay by cashier check or money order. Make all checks payable to AKA 78th MidWestern Regional Conference. No personal checks will be accepted. Registration information must be mailed to the Registration Committee by February 1, 2008, for registration, without a late fee. Registration materials received through February 22, 2008 will be considered late and will require a $60 late fee. Chapter Registration One registration form should be included for each soror. Please duplicate forms as needed. The individual registration form and any accompanying forms should be forwarded with the completed Summary of Registration Remittance Form. When a chapter submits registration materials as a group, the chapter is required to send one check to cover the multiple registrations made payable to AKA 78th MidWestern Regional Conference.

GENERAL REGISTRATION INFORMATION

Basic Individual Registration Fees Graduates $150.00 Undergraduates $85.00 The registration fee for graduate sorors includes the Formal Gala. The registration fee for undergraduate sorors includes the Undergraduate Luncheon and 1908 Step Show & /Mixer (the Formal Gala is not included). Special activities and ticket prices are listed on the registration form. Late Registration A $60 late fee must accompany registration postmarked after February 1, 2008. No registrations postmarked after February 22, 2008, will be accepted. Cancellation Policy Cancellation of registration and request for refund must be submitted in writing to the Registration Chairman and postmarked March 10, 2008. All monies, minus a $35.00 handling fee, will be mailed to the soror after the regional conference bills are paid. Substitute Registration A Soror may substitute for another Soror by submitting a written request signed by the original Soror, designating the name of the substitute Soror and signed and dated by the chapter Basileus. This document may be presented to the Registration Committee upon arrival at the conference. Substitution for a graduate delegate requires a written request from the chapter Basileus. A substitution for an undergraduate delegate requires a written request from the chapter Basilieus and/or graduate advisor. Vendors Vendors approved by the International Headquarters will be located in a designated area. Sales from hotel rooms or in any other undesignated areas are strictly prohibited. First Timers' Forum: This workshop is for sorors including: firsttime conference attendees, newly initiated sorors, and newly reactivated sorors. It is expected to be an orientation for regional conference including a discussion of proper conference protocol. Making E.S.P. Work Information will be shared on "best practices," resources and partnerships supporting the heart of E.S.P. (Extraordinary Service Program) and provides suggestions for engaging and assisting in developing the E.S.P. platforms on a chapter level. Centennial Membership: Embracing Separated Pearls This workshop is designed for chapter membership representatives. Event and Program Descriptions

THURSDAY EVENTS

Graduate Advisors Certification Graduate Advisors, members of the Graduate Advisor's Council and sorors who want to serve as a Graduate Advisor or be a member of the Council must attend this Certification course. We strongly encourage chapters to have at least 5 percent of their members certified so that we will be able to effectively assist our undergraduates. This training is designed in two parts: Level I Certification and Level II ReCertification. Both sessions run concurrently on Thursday, March 27, 2008. Registration is $10 and includes materials. First Timer Conference Attendees' Orientation This informational meeting will be held for sorors who are attending their first Regional Conference. During the meeting there will be a discussion of pertinent information to help first time attendees understand the Regional Conference process. Public Meeting and Reception (OPEN TO THE PUBLIC) The public meeting and reception for the 78th Mid Western Regional Conference will feature awards that will be given to leaders and corporations/ businesses that have significantly impacted their communities. Centennial Million Pound Walk Don't forget your tennis shoes. Here is an opportunity to continue your efforts to Enthusiastically Shed Pounds. Join us for the Centennial Million Pound walk and enjoy the fresh the green country landscape. Rededication Rededication will be held during the First Plenary session. Please see Conference Attire & Additional Information. Ivy Beyond the Wall Memorial Service The Ivy Beyond the Wall Memorial Service will be held on Friday, March 28, 2008. This solemn and sacred ceremony is the final and lasting tribute to those sorors who have passed away. Please be mindful of the dignity of the occasion. Once the ceremony has begun, no one will be admitted into the room. Please see Conference Attire and Additional Information. Legacy Breakfast Please show that AKA LEGACY HEART and SPIRIT by participating in a Legacy Parade during the Legacy Breakfast. Hale Diamond, Golden, and Silver Sorors Luncheon An elegant luncheon will be hosted to celebrate the milestones of individual sorors and chapters, as we recognize them for achieving 25, 50, and 75 years of membership and "service to all mankind." 1908 Step Show and Undergraduate Mixer The ladies of Theta Beta and Theta Xi Chapters cordially invite you to attend the Midwestern Region's 1908 Step Show & Competition on Friday, March 28, 2008. The Undergraduate Mixer immediately follows the Step Show & Competition. The ticket price is $15 per person and must be purchased at the time of registration. Tickets for undergraduate sorors are included in their registration.

Formal Gala The Formal Gala is a formal banquet that will begin with a cocktail hour. Special entertainment will be provided during the Gala. The cost is included in the registration for graduate sorors only. Tickets for undergraduate sorors and guests are $65 and must be purchased with registration.

SUNDAY EVENTS

Ecumenical Service Sorors gather to end the conference on a high spiritual note with a Sunday worship service. Complimentary Continental Breakfast Join us for breakfast before attending the ecumenical service.

SATURDAY EVENTS

Barbara A. McKinzie Leaders Appreciation Breakfast This breakfast will focus on the sorors who lead us in this region and on a local chapter level. All sorors are leaders and are welcome to attend. Chapters will have the opportunity to say thank you to your chapter Basileus and other officers. Plan to be present to gain inspiration to continue the work of Alpha Kappa Alpha Sorority, Inc. in this region. All chapter officers are encouraged to attend. Undergraduate Honors and Awards Luncheon Undergraduate awards and recognition will be given during this annual luncheon. To celebrate our heritage, undergraduate chapters and graduate sorors may wear pink and green with hats and gloves. Undergraduate sorors will receive priority seating during the Undergraduate Luncheon.

Centennial This committee will consist of Chapter Centennial Liaison Representatives who will work in coordination with the regional and national centennial committees to ensure full participation by their local chapters in the planned centennial activities, events, projects, etc. If you have not done so, each Basilei, undergraduate and graduate, is requested to appoint a Chapter Centennial Liaison Representative and to submit her name and contact information to the Regional Director and to [email protected] Connections The committee identifies regional and national issues which impact upon the quality of life and design strategies to mobilize chapters to affect change in public policy locally and nationally. The committee sends such issues to the International Connection Committee. Constitution and Bylaws Committee ­ This committee will consist of chapter Parliamentarians. The Constitution Committee will propose needed changes in the Constitution and Bylaws. Educational Advancement Foundation This committee will be composed of chapter EAF Captains. The committee will assist the EAF Regional Coordinator in the implementation of EAF activities at the regional conference. Evaluations This committee will develop the evaluation survey that will be distributed by email to each soror in attendance after the conference has ended. Exhibit Judging This committee shall be responsible for judging all chapter exhibits and scrapbooks during the Regional Conference. Other awards will be judged prior to the start of the conference. Graduate Advisors' Council This committee is composed of all Graduate Advisors. The primary focus is to develop strategies for organizing graduate advisors as mediators throughout the region. This council should meet at least once a year to determine the direction and goals for all Graduate Advisors in guiding undergraduate chapters. Nominating/TellersThis committee is responsible for the nominating process prior to an election during the conference.

Philacters The Philacters Committee will serve as the doorkeepers during the closed sessions of the Regional Conference. They will be responsible for admitting registered sorors to the sessions, collecting late fees, and ascertaining knowledge of the current password prior to admittance to each session. During the ceremonies, the Philacters Committee will admit only those sorors properly attired. Once the ceremonies have begun, the Philacters Committee will ensure no additional sorors are admitted. Program This committee presents and interprets the National Program. It also assists chapters with implementation of programmatic activities. Protocol ­ This committee assists with implementing protocol, policies, and procedures during the regional conference. Recommendations This committee edits, compiles, and presents conference recommendations received from chapters during the regional conference. With approval of the regional conference, proposals are submitted to the Directorate and or Boule Recommendations committee. Regional Suite at Boule This committee will be responsible for hospitality events in the Regional Suite during the Boule. The committee will be responsible for collection of chapter assessments and circulation of information pertaining to chapter responsibilities related to operation of the Suite. The committee will announce and extend invitations to all events. Regional Luncheon at Boule This committee is essentially a yearlong committee. This committee will implement the program during the Regional Luncheon at the Boule. The committee will work in conjunction with the Regional Suite Committee in the determination of chapter assessments, circulation of information pertaining to chapter responsibilities and luncheon program development. Resolutions This committee will receive, recommend, and edit resolutions from chapters and committees. Resolutions are binding. Therefore, this committee must evaluate the relevance and appropriateness of resolutions received. The committee should consult with the Regional Director if there are questions concerning recommended resolutions. Rules The Rules Committee will establish the standing rules to govern the proceedings of the MidWestern Regional Conference. This committee must report to the conference at the first plenary session. Standards/Regional Heritage This committee determines the criteria for chapter and officer evaluations. Technology This committee will develop strategies to assist chapters in the utilization of technology for the distribution of information within each chapter and among the chapters of the region. RESOLUTIONS AND RECOMMENDATIONS GUIDELINES

RESOLUTIONS DEFINITION Resolutions (Motion) ­ Method by which business is brought before an assembly. A motion (resolution) is a formal proposal by a member that the assembly acts on. When a motion is a more important or complex question, or when greater formality is desired, the motion is presented in the form of a resolution. Resolutions mandate action. Resolutions (Main motions) ­ Not in order: 1. A resolution is not in order if it conflicts with national, state, or local law or with the bylaws (or constitution) or rules of the organization or assembly. If such a motion is adopted, even by a unanimous vote, it is null and void. 2. A resolution is not in order if it presents substantially the same question as a resolution previously rejected during the same session. A resolution is not in order if it conflicts with a resolution previously adopted at any time and still in force. (See Robert's Rules of Order Newly Revised for ways to reconsider.) 3. A resolution is not in order if it conflicts with or presents substantially the same question as a resolution that has been temporarily disposed of. This rule applies regardless of whether the resolution was disposed of in the same session or a preceding session (see Robert's Rules of Order Newly Revised) as long as the resolution remains within the control of the assembly. 4. A resolution that proposes action outside the scope of the organization's objective, as defined in the bylaws or corporate charter, is out of order unless the assembly (by twothirds vote) authorizes its introduction. Resolutions should be handled by a separate committee and should be submitted in the proper form, that is "Resolved, that...." It is usually advisable to include reason for the adoption of a resolution within the resolution itself incorporated in a preamble. A preamble consists of one or more clauses beginning "Whereas." It should be emphasized that neither rule nor custom requires a resolution to have a preamble, and a preamble should not be used merely for the sake of form.

RECOMMENDATIONS DEFINITION Recommendations ­ A proposal for action, usually following a committee report. There should be clarity on whether the adoption of a recommendation authorizes action or only has the force of a declaration of intent (requiring the adoption of subsequent resolution(s) for implementation). Recommendations ­ Not in Order: 1. Same basic tenets as for resolutions. 2. A recommendation is not in order if it does not speak to how it should be carried out. Recommendations should come through a committee report. The regional director may wish to have all reports given with recommendations. Then the Regional Director would refer all recommendations to one committee without action when they are presented by committee reports. This would aid in screening and avoiding duplications. Alternatively, the committee recommendations may be given to the recommendation committee, but it would act on committee recommendations only. If a proposal for changing the Alpha Kappa Alpha Sorority Constitution and/or Bylaws is submitted, it should be forwarded to the recommendations committee (not resolutions). It should refer to the exact place in the constitution and/or bylaw by article, section, and page. The recommended changes and wording must be given exactly as the submitting member or chapter wishes the change to appear in the Alpha Kappa Alpha Sorority Constitution and/or Bylaws. Forms Members, chapters, or committees must use the forms adopted by the Directorate. CONFERENCE REPORTING Resolutions and Recommendations Committee must report to the body on all resolutions and recommendations received whether the committee is in agreement with the proposal or not. The committee must reject a resolution or recommendation only if it is in conflict with the Constitution and Bylaws. However, if it is a proposed change through the "recommendations" process, it must be reported to the body. The committee may report "no recommendation" or may recommend adoption or rejection. COURTESY RESOLUTIONS Courtesy resolutions express the appreciation of the convention to those who arranged accommodations or rendered Service. The committee should be careful not to overlook any individual or group that has contributed to the conference. Letters containing the courtesy resolution should be sent to the person(s) to whom they are directed. This is the responsibility of the Conference Grammateus.

MIDWESTERN REGIONAL CONFERENCE 1908 STEP SHOW COMPETTION RULES AND JUDGING CRITERIA

· · · · · Each team will be selected by the 2008 MidWestern Regional Conference Step Show Committee to compete in the competition. The use of profanity and sexually explicit material will result in disqualification. The highest cumulative score wins the competition. Each team must have all music cued on a compact disc. A person should be assigned to instruct the sound person during the performance. The hostess chapters are not responsible for music that is not properly recorded. All stage props must conform to the rules and regulations of Alpha Kappa Alpha Sorority, Inc. Neither pyrotechnics nor weapons will be allowed. Any special equipment needs should be specified on the Team Registration Form. All teams will be given a single assigned time when they may practice prior to the start of the show. Practice times are 15 minutes per team. Any team found to be grossly unsportsmanlike during another team's performance, causing a disruption to the show, will be disqualified. Organizational pride along with appropriate and tasteful "dissing" of other affiliate National PanHellenic Council organizations may be exhibited. However, any malicious intent or slander of any other National Pan Hellenic Council organization will result in immediate disqualification without discussion or recourse. Teams may only have one person who is not associated with the "team performing" enter with them prior to the start of the show. For undergraduate chapters, this person should be the Graduate Advisor. Team members are not to fraternize with any of the judges during the show. This could result in that judge being removed from the panel and/or team disqualification. Any team that does not comply with the stated rules and regulations will receive a deduction in scores and/or be disqualified.

For Teams Competing in the Step Show: · · Each team will have a total of ten (10) minutes to perform, including introduction and exit. The clock starts when the first member steps in full view of the judges and timekeeper and/or when the music or vocals start. Five points will be deducted for each minute over ten minutes. Teams are required to do at least three step sequences during the performance.

is made and entered into by and between the 2008 This agreement dated Alpha Kappa Alpha Sorority, Incorporated, MidWestern Conference Step Show Committee (hereinafter called "the Producer") and , (hereinafter called "Step Team") wherein the StepTeam agrees to compete in the 2008 Alpha Kappa Alpha Sorority, Incorporated, MidWestern Regional Conference 1908 Step Show Competition (hereinafter called "the Show ") to be held at the Crowne Plaza Hotel, Tulsa, OK on March 28, 2008 at 8:30 p.m. · The Producer agrees to plan, organize, and facilitate the Show and the Step Team agrees to compete in said production. · The Producer agrees to provide an adequate venue for the Show, including the sound equipment, stage, and other production requirements to facilitate the successful presentation of the program. · The Step Team and the Producer agree to adhere to the Show Rules and Judging Criteria as stated in this registration material. Step Team Agrees: · To perform at the Show in accordance with the entrance guidelines provided and to be judged according to the Judging Criteria. Any deviation from said guidelines will result in automatic disqualification. · To arrive at all performances, scheduled meetings, and practice sessions as indicated by the Producer. It is the responsibility of the Producer to inform Step Teams of any changes that may occur concerning the competition. · To return the contract, registration form, and associated entry fee by February 22, 2008. All must be mailed to the addresses below. · Cancellation Notice: In the event that a team cannot compete, the Producer must be notified no later than March 10, 2008. In the event this notification is not given, the Step Team agrees to pay the Producer a fine in the amount of $50. · No use of helium balloons or confetti is permitted. Use of these products will result in an automatic fivepoint deduction. Pyrotechnics and weapons are absolutely prohibited. The Producer must approve all other props and special requirements by March 10, 2008. · The Step Team, represented by the signature below, assumes all risk and liability involved in this performance and all activities authorized by this agreement, and is responsible for all actions in association with the performance of the team that may cause harm or injury to persons or property during the competition. · The Step Team agrees to allow the Producer to film and photograph the performances for any media use. · It is the responsibility of the Step Team to provide themselves with lodging and transportation for competition.
