Fall 2011-Spring 2012 VCU Housing Application Process: Frequently Asked Questions

Will I get my preferred room and residence hall choice?

For freshmen: Fall 2011-Spring 2012 housing is guaranteed if your housing application and $250 Prepayment are received by June 1, 2011. (Students may also submit a Pre-payment deferral request via email, as noted below in the Payment Instructions.) Housing will be limited for new incoming freshmen who submit a Spring 2012 housing application; rooms will be assigned based on availability. · · · · The number of single rooms (i.e., one student residing in one individual room) in the freshman residence halls is very limited. These include the Gladding Residence Center Phase 3 (GRC3) and Johnson Hall. Students seeking a single room should complete a housing application as soon as possible. But due to high demand, even students who apply early cannot be guaranteed assignment to a single room. NOTE: In GRC3, two-person suites (i.e., two single bedrooms within one suite) are the most limited. In Brandt Hall, 4-person suites are also very limited. Students seeking to be housed in Brandt Hall may also wish to choose an 8-person suite as a second housing preference. When submitting your room preferences, keep in mind the "Do Not" instructions, as noted on the Housing Web site at www.housing.vcu.edu, under the Apply for Housing (Fall, Spring) link.

For upperclassman transfer students and current off-campus upperclassman VCU students seeking on-campus housing: NOTE: Upperclassman housing is limited for the Fall 2011-Spring 2012 school year. · · · For Fall 2011-Spring 2012, single rooms in the Gladding Residence Center Apartments (GRC1) are no longer available. Please do not list this option among your residence hall preferences. When submitting your room preferences, keep in mind the general "Do Not" instructions, as noted on the Housing Web site at www.housing.vcu.edu, under the Apply for Housing (Fall, Spring) link. VERY IMPORTANT NOTE: New incoming upperclassmen transfer students and current offcampus upperclassmen students seeking on-campus housing (that is, sophomores, juniors, seniors) are NOT required to pay the $250 Housing Pre-payment. When submitting your Fall 2011-Spring 2012 housing application, simply end the process at the "Congratulations, Your Housing Preferences Have Been Saved" page. Your Pre-payment will then be automatically deferred.

How do my friend and I request to be roommates?

If you and a friend wish to live in the same room for Fall 2011-Spring 2012, you may request that on your electronic housing application. You will both need to follow these steps when submitting your applications online. 1) List your friend's name and VCU student "V" identification number on the Roommate Preference section of your housing application. Your friend must also list your name and your "V" number on his/her application. 2) On the Room Preferences section of your housing applications, you both must also list the exact same residence hall and room-style preferences in the exact same order.

3) You must both submit your housing applications and pay the required $250 Housing Pre-payment (or request a deferral of that payment) on the SAME DATE. If you do not follow these exact steps, our computerized room assignment system will not be able to make the "match." NOTE: Students are assigned to rooms based on the completion date of their housing applications, including receipt of the $250 Housing Pre-payment, or receipt of a request for Pre-payment deferral (that is, first to apply are first to be assigned). Students who have a preferred roommate choice should apply online as soon as possible. However, as rooms are filled, space availability does become a factor; two spaces within one room may not be available. Therefore, a roommate preference cannot always be honored, nor guaranteed.

How do I pay the $250 Housing Pre-payment, which must be included with my housing application?

For instructions and detailed information regarding the $250 Housing Pre-payment (and how to request a possible deferral of that Pre-payment), please refer to the link "Fall 2011-Spring 2012 Housing Pre-payment and Deferrals," located on the Housing Web site at www.housing.vcu.edu/apply_for_housing.html, under the Links/Resources header at the right side of the page. NOTE: New incoming upperclassmen transfer students (sophomore, junior, senior) for 2011-2012 are NOT required to pay the $250 Housing Prepayment.

How and when will I get my room assignment?

Fall 2011-Spring 2012: Room Assignment Notification letters will be sent via the VCU student email system approximately June 2, 2011, and then throughout the summer months as applications are received and processed. Spring 2012 semester: Room assignment letters for new incoming students will be sent via the VCU student email system in mid-December 2011 or in early January 2012 (after the university's Winter Break), as applications are received and processed. Check your VCU student email in-box for your letter and for other important housing-related messages.

How do I sign my housing contract online?

All incoming on-campus residents must sign their housing contract online within 24 hours of being notified of their room assignment. Instructions will be included in your Room Assignment Notification Letter. If you do not sign your contract within that 24-hour period, your assignment will be cancelled. When signing your contract, you will also be required to include the name, street address, and phone numbers of an Emergency Contact person. Print a copy of your housing contract; you will need it when you check into your residence hall.

What if I change my mind? Can I cancel?

Fall 2011-Spring 2012: Students who wish to cancel a new Fall 2011-Spring 2012 housing assignment/contract and to receive a refund of the $250 Pre-payment (if the Pre-payment was made) must

submit a cancellation request by June 30, 2011. The cancellation process is electronic; the link to the online form is available on the Housing Web site home page at www.housing.vcu.edu. After June 30, 2011, housing contract cancellations are not allowed. Spring 2012: Students who wish to cancel a new Spring 2012 housing assignment/contract and to receive a refund of the $250 Pre-payment (if the Pre-payment was made) must submit a cancellation request by January 3, 2012. The cancellation process is electronic; the link to the online form is available on the Housing Web site home page at www.housing.vcu.edu. After January 3, 2012, Spring housing contract cancellations are not allowed. For more information about your contractual agreement for your 2011-2012 housing assignment, please refer to the 2011-2012 Terms & Agreements, which are available on the Housing Web site home page at www.housing.vcu.edu, under the Housing Rates and Contract Information header on the left side of the page. For additional details regarding the housing contract cancellation process, students may contact the VCU Central Housing Office via email at [email protected] or call (804) 828-7666.

What if I want to change my room assignment?

Each semester, VCU Residential Life and Housing Office does not permit room changes until after the official class registration add/drop period has ended (i.e., after the first 3 weeks of the semester have concluded). Every effort is made throughout the school year to place an on-campus student in another comfortable residential environment, should a room change be requested.
