Using Bubble Sheets and a Scanner with Holt Online Assessment

These directions explain how to use bubble sheets and a scanner with Holt Online Assessment. The process uses the ExamView Test Generator, Exam View Test Manager, and Holt Online Assessment Platform (HOAP). Once the test results are uploaded into HOAP, teachers can generate the full set of HOAP reports. Table of Contents I. I. Create Class Rosters

Create the class rosters in HOAP and duplicate the entries in the ExamView Test Manager class roster. If you add or drop students from your classes be sure to update your class rosters in both applications. There are two important rules to follow. - The class names in HOAP and ExamView Test Manager must match exactly. - The Student ID fields in HOAP and ExamView Test Manager must match exactly and must be numeric. Do not put letters in the Student ID fields. To create a class roster in HOAP 1. Log into the my.hrw.com website. 2. On the right side of the screen are buttons that allow you to set up classes and register students. Directions and help are available on the website.

To create a roster in ExamView Test Manager 1. Start ExamView Test Manager. Choose Start a New Class.

Go to the File menu and select New Class.

From the Student menu select Add New Student and enter the student information into the fields.

II. Create an ExamView test and administer it with bubble sheets

1. Create a test in ExamView Test Generator using any combination of multiple choice questions and/or multiple response questions from test banks supplied by HRW or individually created test items. Short answer, matching, and other types of test questions are not currently supported for scanning results in ExamView. 2. Save the test in the Tests folder. (ExamView will save to this folder by default.) 3. Print the test and give it to your students with the bubble answer sheets.

III. Scan the bubble sheets into ExamView Test Manager

1. Open ExamView Test Manager. 2. Select your class. 3. From the Assignments menu, select Create New Assignment.

Enter information into the assignment fields. It's very important to make sure your ExamView assignment name matches the Title of the test you administered in step II.

5. Click the first check box under Step 2 labeled Paper test scored manually, with a scanner, or with response device. 6. Click Next and follow the on-screen directions. 7. From the listing of assignments that is displayed, click your assignment to highlight it. 8. From the Assignment menu select Get Results from Scanner. 9. Scan the student's bubble answer sheets.

IV. Save your test results to a file

1. Open ExamView Test Manager. 2. Select your class. 3. Click an assignment's name to select it.

From the File menu, choose Export > Assignment Results as XML. Save the file to a folder on your hard drive to use for the "Import Scores" process.

V. Upload (Publish) the ExamView test to HOAP

1. Open ExamView Test Generator and select the test you want to upload to HOAP. 2. From the File menu select Publish Internet Test and follow the on-screen directions.

VI. Associate the test in HOAP

1. Log into the my.hrw.com website. 2. Click the Assessment button on the right side of the screen. 3. Click the Assignments tab and select Category: Unassociated Uploaded Tests (These are published tests from ExamView).

Click Associate. After making your selection(s) in the popup, click Submit to associate the test with the desired online edition(s).

After associating the test, select Category: Teacher Uploaded Tests from the dropdown menu under Assignment Type. You will find your test listed under Resources with a link to Import Scores.

VII. Import your results into Holt Online Assessment

1. With the Assignments tab still open in HOAP locate the test that you just uploaded and click the Import Scores link.

2. In the popup window, browse to the test results file (the "xml" file) that you saved earlier on your hard drive.

3. Select the test results file and click Import Scores to import a test results file into Holt Online Assessment. The test results will start uploading to HOAP. Once the upload is complete you are done. You can view the full complement of HOAP reports for these test results. See "Troubleshoot" section to see how to locate and fix upload errors.

VIII. View student results and create reports

Your students' results will display the same way as they do for other Holt Online Assessment assignments. 1. After the scores have been successfully uploaded, from the Assignment tab, select the radio button "View all assignments made" and click Submit. When the page refreshes you'll see a completed assignment for the imported scores. 2. Select the Reports tab to view the imported scores in the Tests and Quizzes and/or Standards reports. 3. When students log-in they will find their results displayed on their Student Progress Report, similar to other Holt Online Assessment assignments.

IX. Troubleshoot

Checking the status of the upload 1. With the Assignments tab still open click the View Import Status link. 2. The status of the upload will be displayed. If any errors occurred, you can check them by clicking the View Errors link in the Action column.

Problem: Changing the name of the assignment in ExamView Test Manager after the test has been published to HOAP will cause a mismatch. Solution: After modifying a test in ExamView, re-upload the test to HOAP before administering the test to your students. Problem: Clicking outside the Importing Scores popup windows may cause the upload process to terminate. Solution: Wait until the popup windows closes automatically after it completes uploading the file to the server. Problem: Using special characters, such as #,%,* will cause your upload to fail. Solution: Use only underscores, letters and integers in your filenames. Problem: When you created your student rosters in HOAP, you did not use the Student ID field. Solution: The upload process uses student ids. Add student ids to your student rosters in HOAP and make sure they match the Student IDs in the ExamView Test Manager class roster. 10

Problem: HOAP allows letters in the Student ID fields. ExamView Test Manager does not allow letters in the Student ID fields Solution: The HOAP and ExamView Student IDs have to match, so do not include letters in the Student ID fields. Problem: Changing the ExamView test without re-uploading the test to HOAP may cause the process to fail because some test items may have changed. Solution: Always re-upload and re-associate the ExamView test if you have made changes to the test. Problem: Bubble sheet scanning only works with multiple choice or multiple response types of questions. Other types of questions, such as Matching, ShortAnswer, or Numeric question types are not currently supported in ExamView. Solution: Only create tests with multiple choice or multiple response question types for bubble sheet scanning.
