Background

The Oakville, Milton and District Real Estate Board (OMDREB) was founded in 1954, and serves the areas located to the north of Lake Ontario, midway between Toronto and Hamilton encompassing the Towns of Oakville, Milton and Halton Hills (formerly the Town of Acton). The Board serves a diverse community with features and attractions that encompass sophisticated urban amenities to country appeal and charm. Amid two harbours, vast conservation areas, parks and golf courses, plus great shopping and exciting cultural events, it is an area that offers a successful blend of old and new, of town and country, of families and business. Three thriving communities all situated ideally within the Greater Toronto Area and approximately one hour from the U.S. border. In proximity to Lake Ontario and recreational areas, plus easy access to QEW, 403,401, 407 and GO Transit. OMDREB MLS® System - Matrix www.onmatrix.ca

OMDREB's MLS® System - www.onmatrix.ca - is provided by Tarasoft, a Canadian Company located in Victoria and Nelson, British Columbia. Tarasoft Matrix® is an enterprise level web-based MLS® platform, built entirely on Microsoft's .NET technology. Some of the key features are: Real estate agents can access the MLS® from any computer connected to the internet; and there is no additional software to download or install; Tarasoft Matrix® is 100% compatible with all operating systems and web browsers. MLS® data in Tarasoft Matrix® is always 100% live, removing the need to manually download and update listings locally on an agents desktop or laptop computer. Tarasoft Matrix® provides many robust features. Tarasoft Matrix® provides tremendous customization to agents. Fully customize all of your searches and search results pages. Brand all of your emails, reports and CMA's with custom headers and footers. Web based "only" features such as Bing Maps/Google Street views of properties, custom map searches including polygon, radius and rectangle searches of the MLS® database are instant and live; Multiple property photos, live links to virtual tours and full additional property supplements of any type (pdf's, your own video clips, M/S Word documents, real estate web forms, etc.) can be easily added to your listings and instantly accessed by other agents; Matrix Mobile: Full wireless access to the system from virtually any hand held device . Matrix Mobile PDA

Matrix Mobile is a stripped down text-based version of the Matrix system making it easy to view listings, access listings, and create searches on your PDA (personal data assistant) device. To log onto the Matrix Mobile open your PDA's web browser and in the address line type http:// matrixmobile.onmatrix.ca . Transfer and Re-Instatement Policy

The following is a refresher on Board By-Laws, policy and fees relating to membership transfer, reinstatement, etc. 1. A fee of $100.00 is levied when a Member transfers from one Member office to another within a seven-day period. If more than seven days have elapsed since a Member moves from one office to another, it is considered to be a re-instatement. 2. Currently, the Board By-Law provides for a re-instatement period of 180 days. If a Member returns to the Board within that time period, a re-instatement fee of $100.00 applies. If an individual returns after an absence of 180 days, the full initiation fee applies. At present, the initiation fee for a new Member is $1,000.00. The Board By-Law, Article IV, Section 1, provides that: "In the event of re-application for membership by any Member after a 180 day absence where previous membership has been terminated, the amount of the application fee payable upon re-admission to membership shall be such amount as the Directors by resolution determine. In the event of re-admission to membership at any time within 180 days of resignation or termination for reasons other than misconduct, the amount of the re-admission fee shall be such amount as the Directors may by resolution determine". 3. For long-standing Members who leave the Board and then re-join after a minimum six month absence, the policy is as follows: "Where a Member who has belonged to the Board for five (5) consecutive years or more leaves the Board for a period of 6 months or more, a reduction in the initiation fee of 10 percent per year for each consecutive 12-month period from the most recent date of membership acceptance will apply upon re-application for membership". If you are contemplating a temporary absence from the Board and have questions regarding the fees that apply when you return, please contact the Membership Administrator at the Board office. Authenticators Every new Member joining the Board will receive a security authenticator to log on to Matrix which generates a password everytime you need to log on to the MLS® System. The authenticator is provided for the sole and exclusive use of the subscriber and may not be shared with or used by any other person. Failure to comply with this provision will result in the matter being referred to the Professional Standards Committee for possible disciplinary action against the offending subscriber, which may include a maximum fine of $10,000 and loss of subscriber privileges. To Register Your Token: Go to http://www.onmatrix.ca Click the "Register Your Token" link to begin the enrollment process. In addition, there is a fee of $50.00 plus taxes to replace a lost or broken authenticator. To re-assign SAFEMLS® device to another applicant there is a $25.00 transfer fee. Individual Billing

Notifications

Notifications will be emailed to individual Members, in addition a reminder on the Matrix Home page will be posted. Additional emails will be sent out to Members throughout the month prior to the quarter. If a Member's payment is over-due, a notification will also be sent to the Broker Manager/Managing Broker. Please ensure that the Membership department has your correct email. Members will not have the option to unsubscribe from this notification of payment email.

Paying Your Dues

Once you have received your email notification that dues are payable you will be able to log on to the Matrix website and make payment any time during the month. Type in: www.onmatrix.ca Click on: MyStore Tab and it will take you to the online Realty Store area. Click on: Dues Payable Tab Choose your action! You can review your account and/or make payment immediately. To make payment click on: Item box(es) and then click on: add to cart and go to check-out.

Payments & Timelines

Payments can be made by cheque, cash (in person or via mail) or online with a credit card* through MyStore. *VISA and MasterCard accepted only. Fees and dues (OMDREB, CREA, OREA & Teranet) will be billed on a quarterly basis in advance.

Late Payment / Reinstatement

If you are LATE paying your dues your Matrix access is automatically suspended and a $100 reinstatement fee is applied automatically to your account. You must THEN call the Board office and request a temporary reinstatement of access to allow you to make an online payment of your now overdue account. Staff will set up your account to allow you two hours to logon to the Matrix System and make payment. Alternatively you can bring a cheque to the Board office.

Statements

Just click on the Statements tab ... our online billing system will offer historical account information, it will save Members the trouble of archiving past bills and account activity. Going forward from December 1, 2009.

Fees for Unlicensed Assistants will be invoiced to the Broker/Salesperson for whom they work. Fees/dues for Office Administrators and Licensed Office Administrators will be invoiced to the employing Broker of Record or Broker Manager who will be responsible for payment.

Transfers

Members requiring a transfer to another Brokerage, must first pay the $100 cost of a Transfer by paying online through the Realty Store, or alternatively by bringing in a cheque to the Board office. First Fill out the transfer form with appropriate signatures and remit to the Membership Department at the Board. Second Make payment Third Staff will confirm payment by checking your account activity, once that is done and confirmed they will proceed with putting the transfer through.

Education & Events Registration

Pay as you go! Register for an event or education course by going online. Type in: www.onmatrix.ca Click on: Education/Events Registration Choose your event! When you are done, click on add to cart and go to check-out. Make payment and print out receipt. An automated confirmation will be generated and sent to you via email. Two days prior to any event or education session a reminder will be sent to you via email.

Realty Store Ordering Products

Pay as you go! The online Realty Store offers: Books Forms Lockboxes Stickers Maps ... and more! You can use the search box or select Product Categories to find your item(s). Click on `Add to Shopping Cart' to purchase, you can then choose quantity and then select `keep shopping' to purchase other items or select `check-out' and make your payment.

Amendments, Internet Ad Copy & Board Photo Uploads

Members requiring these services must contact the MLS® department to make arrangements for these services. Charges will be added to your shopping cart and can be paid immediately online or when you make your quarterly dues payment. You will not be able to remove these items from your shopping cart until payment has been made. Alternatively you can make payment debit card, internet banking, cash or by cheque by bringing in a cheque to the Board Office.

Want to check out quickly and efficiently? Click on the Shopping Cart tab at the top of the page. It will take you directly to the Check-Out Page where you can make a payment immediately.

Ordering Photos

Now you can order bundled photography services and pay as you go. Select from the online store the bundled photography services you require. When you are done, go to CheckOut. You will notice: Photography Products - Details Required MLS # Property Address # Once you have checked out and made payment your request is sent on to REAL Services Photography and they will contact you to finalize the arrangements. (if known)

Delivery of Products

We even deliver!

You can choose to pick up your items at the Board office or have them delivered to your Brokerage (the Tuesday or Friday following the order). Brokerages in the Oakville and Milton area can request delivery of products via the Board's Courier service or pick up their items at the OMDREB office.

Up-Dating Your Profile

Broker Loading the Data Sheet

Members are able to broker-load their own listings and OMDREB does not require the paper work on each listing. All documentation (completed, signed data sheets and amendments, etc) must be kept on file in the Brokerage office. It is the responsibility of the person entering the data to fill in ALL mandatory fields. Entering Seller's Name: Surname, Given Name

REALTOR.ca Transmissions: This is done on a daily basis. The data is forwarded early in the evening and processed over-night: it should appear by the afternoon the following day. Board Loaded Listings: Completed, signed data sheets must be received by the Board within 48 (business) hours of the listing date. Listings after this date will be considered stale-dated and returned to the LBO for amendment of the date. The Seller must initial the date change. No exceptions. All fields on all forms must be filled out - this includes the MLS® number, complete address, Member's Board ID. We charge a $15 deficiency fee for paperwork not received by the Board with the two-business day allowance. Access listings to be placed on the REALTORS® Association of Hamilton-Burlington (RAHB) will be processed with 48 (business) hours. Please keep this timeline in mind when send ing RAHB listings, particularly if you will require a Board Open House for the property.

RAHB Open House Scheduling: RAHB requires the Open House requests to be received no later than noon the day prior to the Open House. Note: Even if the listing already exists on the RAHB System, you must request the Open House prior to noon the day before. This request must be faxed directly to RAHB: 1.905.529.9893 Inter-Board Listings: We no longer forward interboard listings for security reasons. Members are responsible for sending their own interboard listings and amendments for most other Boards in Ontario once they have had all of the required documentation verified by an OMDREB Staff Member.

MLS® Data Integrity Review

The Board has processes in place to ensure the quality and integrity of data on the Board's MLS® System. Data Integrity Review Board staff will randomly select a listing(s) and then request all documentation for the listing(s) via fax to the head office administrator; this is also followed up with a notification of the request to the Member. If the information has not been received within 24 hours, a reminder is sent to the Member with a cc to the Managing Broker. What happens if there is a deficient listing? Office/Member will have two business days to produce LEGIBLE requested documentation via fax or email (scanned documents). If the documentation requested is for a new listing, the Board will require a copy of the Data Sheet and Listing Agreement. If the listing has had changes, (i.e. price, expiry date, status, etc.) the Board will require ALL paperwork pertaining to the listing.

Data Integrity Email Link The Oakville Milton and District Real Estate Board has introduced a new feature to help ensure the integrity of our data. Located on the bottom of each listing you will find a "Send data correction request" email link. The "Send data correction request" email link is for data integrity purposes ONLY. i.e., If you notice a listing with an incorrect postal code, mapping in the wrong location, incorrect address, etc. It does not change the amendment process and it is not to be used to provide the Board with personal information or to report an input error on your own listing. This link is used to inform the Board of listing ERRORS ONLY. For Listing Changes that you require the Board to process: please fill out an amendment form and fax it in to the Board.

NOTE: While these are "traditional" boundaries, you are free to hold your Open House on any day from Monday through Thursday regardless of where the property is located. AND, don't forget to bring your listings to public attention by using the Public Open House feature on our website. PUBLIC OPEN HOUSE To book a public open house on MatrixMLS®, go to the "Input" tab and select "Open House" , click on "Add or Modify Existing." With the "Active" Listing Status highlighted, click on "Get Listings." A list of your current listings then will appear. To enter open house information, simply click the Public Open House icon on the far right and follow the prompts. When the date of the Open House has passed, the system will automatically delete the entry.

Inter-Board Listings To inter-board a listing to the Guelph & District Real Estate Board, the cost is $21.00 plus tax, unless the property is in the Guelph Board jurisdictional area, then there is no charge. To inter-board a listing to the Toronto Real Estate Board, the cost is $60.00 plus tax. NOTE: Any amendments, i.e. price change, extensions, etc., will cost $20.00 plus tax. To inter-board a listing to the REALTORS® Association of Hamilton-Burlington the cost to input to MLXchange is $35 plus tax charged by OMDREB. PLEASE NOTE: As per the Data Access Agreement between RAHB and OMDREB - if a listing is taken by an OMDREB Member within the RAHB jurisdiction it is MANDATORY to put the listing on their System within 48 hours of posting it on OMDREB. Any listing outside the RAHB jurisdiction is still subject to an additional $25 fee payble by Members. There is no charge for amendments, status change or photo uploads for these listings. For full details on how to inter-board a listing, please call the MLS® Department at the Board office. NOTE: All applicable taxes (HST) may be added to the above fees. All fees are subject to change.

Mandatory Continuing Education

In an effort to enhance professional standards and consumer confidence, RECO approved Mandatory Continuing Education, requires all RECO members to complete 24 credit hours of real estate education during each two-year registration cycle. The RECO Real Estate Update (6 hours) is a mandatory course, and must be completed in each registration cycle. The balance of the credit hours (18) are to be self-selected education courses/seminars completed within the two-year registration cycle. Also, if the member completes more than the required credit hours within the two-year cycle, a maximum of 8 credit hours can be carried forward to the next registration cycle. All Members must submit a "Declaration of Continuing Education" as part of their renewal application. Proof of completion of the RECO Real Estate Update must be attached. In addition, members are required to retain proof of registration/enrollment for a period of four years for each seminar attended. Failure to complete the CE program requirements is a breach of the Membership By-law, and is subject to the discipline provisions of the Membership By-law including, termination or suspension of membership in RECO. To receive credit for a continuing education course/seminar, participants must be in attendance when the course/seminar begins and must be in attendance for the duration of the course/seminar. There are no partial credits. Therefore, if you arrive late or leave early, we will be unable to issue a course/seminar credit. Are You New To Real Estate??? A Member who, first becomes licensed, and successfully completes the three required education courses within their initial two-year registration cycle, is exempt from taking any further continuing education courses during that two-year cycle. New Members to the OMDREB Board a.) The Board By-Law, Article II, Section 9 ­ 9.02, which states: All members that are new to the Board as of November 1, 2006 shall attend the Matrix Orientation Seminar within 4 months of joining the Board. An exemption shall be made for any Applicant who has already taken this seminar. If a new Member fails to attend an Orientation Seminar within 4 months of joining the Board, an automatic $100.00 fine will be assessed to the Firm Member. If a new Member then fails to attend the next available seminar, he will be called before the Professional Standards and Discipline Committees for possible termination of membership.
