Banquet Policies

All reservations and agreements are made upon and are subject to The Peabody Orlando policies

EXPECTED & FINAL GUARANTEES PAYMENT FUNCTION ROOMS

Please note that ten working days prior to all food functions; the Hotel requires from the client, the expected number of guests for each scheduled event. The expected number of guests cannot be reduced by more than 10% at the time the final guarantee is given to the Hotel. The final guarantee must be communicated to the Hotel by noon, three business days prior to the date of the function. This number is not subject to reduction. If no final guarantee is received, the number indicated as the guarantee (GTD) on the Banquet Event Order will be considered the final guarantee. Should the actual number of guests exceed the guarantee; the client will be charged for the actual number of guests in attendance. The Hotel will not undertake to provide identical services for more than a five percent increase in attendance over the final guarantee for parties up to 500 or three percent for parties over 500. Based on the anticipated attendance, payment shall be made five working days prior to the event unless direct billing has been established through the credit department to the satisfaction of the Hotel. If payment has not been received, the Hotel reserves the right to cancel the event and this agreement and retain the deposit. In the event direct billing is approved, a 50% percent deposit shall be paid at the time of signing the agreement and the balance of the account is due and payable on receipt. After 30 days the account will be considered past due and will be subject to interest at the rate of 1 ½ percent per month. Direct billing privileges will not be extended for amounts less than $5,000. Social functions will not be direct billed. A deposit of 50% of the total estimated cost will be required at the time of the booking, the balance payable five working days prior to the event. The Function Sponsor agrees that by signing the check for services, food/beverages, the function sponsor is acknowledging the fact that there is no dispute over such services and the sponsor is solely responsible for the payment of the total amount due. Function rooms are assigned according to anticipated number of guests. The Hotel reserves the right to reassign the function rooms based on business demands.

DAMAGE

Patrons agree to be responsible and reimburse The Peabody Orlando for any damage done by patron or patron's guests to the hotel. The Hotel may require unarmed Security Guards be provided at the client's expense. Only Hotel Security may be used.

OUTDOOR EVENTS

The Hotel reserves the right to make final decision to move function indoors due to inclement weather, including wind. Decision will be made by Hotel at least (5) hours prior to start of event.

TAX

All Federal, State and Municipal taxes which may be imposed or be applicable to this agreement and to the services rendered by the Hotel are in addition to the prices herein agreed upon, and patron agrees to pay for them in conjunction with services rendered. Tax exempt organizations are required to provide a certificate of Florida State exemption to the Hotel with the signed contract.

LOST AND FOUND

The Hotel will not assume any responsibility for the damage or loss of any merchandise brought into the Hotel by patron or patron's guests

CANCELLATIONS

SERVICE

If cancellation of Banquet Event occurs less than 30 days prior to Event, Event Sponsor assumes payment for total contract minimum expenditure..

SHIPPING

A 24% taxable service charge is added to all food, beverage and room rental.

Banners (five maximum) will be hung by Hotel staff only, fees will apply. Aerial Rigging will hang more than five banners. The Hotel Due to liability and legal restrictions, all food and beverage items must reserves the right to approve all signage. All signs must be be supplied and prepared by the Hotel. The customer cannot remove professionally printed. Please consult with your Catering Manager for appropriate placement of signs in the Hotel. No signs are allowed in food from the premises. No food or beverages of any kind will be elevators, main lobby areas of the hotel or building exterior. The permitted to be brought into the Hotel by the patron, or any of the patron' s guests or invitees. All prices are subject to increase until the affixing of anything to the walls, floors, doors or ceilings of rooms with nails, staples, tape or any other substance is not permitted. In the Catering Office receives signed Banquet Event Orders (BEO). event this is done, and damages are suffered, the cost of repair and/or * Certain items are subject to seasonal availability. replacement will be billed to the account.
