Chapter 1: Introducing SiteLinkTM Image Manager

Introduction

Please read the information in this user guide before using SiteLinkTM Image Manager 3.4.5 (SiteLink). SiteLink works with the system software on the MicroMaxx® ultrasound system to transfer saved images and video clips from the ultrasound system to a personal computer (PC). SiteLink also creates summary reports for cardiac, IMT, and vascular calculations and EMED worksheets from the MicroMaxx system. IrfanView image viewing software is provided on the SiteLink CD-ROM. IrfanView allows you to view images and video clips, as well as manipulate and print images that have been transferred to the PC. See the MicroMaxx Ultrasound System User Guide for information about the ultrasound system and transducers. See the SonoSite accessory user guides for information about accessories.

Software Intended Use

By default, each transferred image is formatted into a 24-bit per pixel Microsoft® Windows® BMP image file and is stored within a patient exam directory hierarchy. These standard image files may be viewed using a variety of image viewing software packages (e.g., Adobe® Photoshop®, Microsoft Photo Editor, CorelDRAW®, or JASC in addition to IrfanView). These images can be printed and/or attached into e-mail documents. Video clip files are formatted by default as Audio Video Interleaved (AVI). These files can be played in media players such as IrfanView or Windows Media Player.

Caution:

Healthcare providers who maintain or transmit health information are required by the Health Insurance Portability and Accountability Act (HIPAA) of 1996 and the European Union Data Protection Directive (95/46/EC) to implement appropriate procedures: to ensure the integrity and confidentiality of information; to protect against any reasonably anticipated threats or hazards to the security or integrity of the information or unauthorized uses or disclosures of the information.

SonoSite provides a comprehensive set of tools on the system that allows its customers to meet the applicable security requirements listed in the HIPAA standard. SonoSite's customers are ultimately responsible for ensuring the security and protection of all electronic protected health information collected, stored, reviewed, and transmitted on the ultrasound system. See the MicroMaxx Ultrasound System User Guide. Note: To protect patient confidentiality, SonoSite recommends that all patient images, files, or records be encrypted prior to being sent electronically. For user guide information on IrfanView, consult the Help menus within the IrfanView program.

Safety

Please read the information before using the image transfer and viewing software product. It applies to the software product, accessory cables, and your PC. A WARNING describes precautions necessary to prevent injury or loss of life. A Caution describes precautions necessary to protect the products. The following sections contain important safety information. "Electrical Safety" "Equipment Protection" "Clinical Safety"

Electrical Safety

WARNING:

Connection to peripherals using a cable not recommended by SonoSite could result in electrical shock. Avoid electrical shock hazards by using an accessory cable recommended by SonoSite. Contact SonoSite or your local representative for the accessory cable available from or recommended by SonoSite. To avoid the risk of electric shock, the electrical connection of a personal computer to the ultrasound system must be in a manner that complies with Table BBB.201 of IEC 60601-1-1:2001.

Equipment Protection

To protect your accessory cable, follow these precautions.

Caution:

Excessive bending or twisting of cables can cause a failure or intermittent operation. Do not submerge the cable in solution. The cable is not liquid-tight. Do not use solvents such as thinner or benzene, or abrasive cleaners on any part of the cable. Do not spill liquid on the cable.

Clinical Safety

Observe the following precaution related to clinical safety.

WARNING:

Do not use the system if it exhibits artifacts on the LCD screen or PC monitor, either within the clinical image or in the area outside of the clinical image. Artifacts are indicative of hardware and/or software errors that must be corrected before use.

To install SiteLink Image Manager, you must: 1 "Install Software" 2 "Set Up Hardware" 3 If using USB cable, "Install USB Drivers (Windows XP and 2000 Only)"

Install Software

Note: For the Russian MicroMaxx system, SiteLink supports only Windows Vista and XP. Install SiteLink 1 and IrfanView 2 3 Log on to the PC as system administrator. Insert the SiteLink disc into the CD-ROM drive. Follow the on-screen instructions in the Install Shield installation wizard. In Windows Vista, when the User Account Control dialog box appears, click Allow. The installation process begins automatically. These files are placed by default into the following folders: · C:\Program Files\SonoSite\SiteLink Image Manager 3.4.5 and Irfanview\ SiteLink Image Manager 3.4.5 · C:\Program Files\SonoSite\SiteLink Image Manager 3.4.5 and Irfanview\ IrfanView 3.31 (Windows XP or 2000) Leave the SiteLink disc in the CD-ROM drive if installing the USB drivers. The disc is needed for installing the USB drivers after the hardware setup is completed. Note: It is not necessary to install the USB drivers if using an Ethernet connection, but SonoSite recommends installing the drivers at initial setup so that the USB option is available if needed.

Set Up Hardware

You can download images and clips to the PC by an Ethernet or CompactFlash reader connection. In Windows XP or 2000, you can also download by a USB connection. The CompactFlash reader can supplement USB or Ethernet or can be a standalone application. Typically, an Ethernet or CompactFlash reader connection transfers faster than a USB connection.

The ultrasound system connects to one of the following docking systems: · Mobile Docking System enhanced (MDSe) · MDS Lite See applicable SonoSite accessory user guide. Set Up Power 1 2 3 Ensure the mini-dock/docking system is connected to AC power. Connect the AC power cord to a hospital-grade outlet. See Figure 1. Attach the ultrasound system to the mini-dock/docking system. See the SonoSite accessory user guides for additional information.

Connect the USB cable from the mini-dock/docking system to the PC. See Figure 1. Turn on the ultrasound system. The Found New Hardware Wizard appears on the PC screen. See "To install the USB driver for Windows 2000" on page 8 or "To install USB driver for Windows XP" on page 6. Note: You need to set up only USB or Ethernet connectivity.

Note: If connecting through an Ethernet hub, use two Ethernet cables instead of the crossover cable: one between the ultrasound system and hub, and one between the PC and hub. Turn on the ultrasound system. See your network administrator if connecting to a LAN.

Install USB Drivers (Windows XP and 2000 Only)

It is not necessary to install the USB drivers if using an Ethernet connection, but SonoSite recommends installing the drivers at initial setup so that the USB option is available if needed. See instructions for: "Windows XP" "Windows 2000"

Configure SiteLink

Note: The connectivity page is typically configured by network administrators to enable Ethernet connectivity. 1 Press the Setup key, select Connectivity, and then select SiteLink Setup. If you are setting up SiteLink for wireless use, select the Wireless check box. See the MicroMaxx Ultrasound System User Guide for wireless setup information. 2 Select New and enter information in the following fields: · Host Name: Unique network name for the ultrasound system. Default is MicroMaxx. · Alias: Name used to identify the network location of the MicroMaxx. · IP Address: Unique identifier of the ultrasound system location. Cannot be between "127.0.0.0" and "127.0.0.8." · Subnet Mask: Identifies a network subdivision. The default value is "255.255.0.0." · Default Gateway: IP address where network connects to another network. Cannot be between "127.0.0.0" and "127.0.0.8." · Alternate Gateway: Alternate location where network connects to another network. Cannot be between "127.0.0.0" and "127.0.0.8." 3 In the Network Speed list, make the appropriate selection. 4 Select Save, and then select Done from the on-screen menu. A dialog box is displayed to restart the system.

Installation

Set Up Patient Information

SiteLink can be set up to store patient data in folders identified by patient name or MicroMaxx user name. When information is entered in the User field on the Patient Information form on the ultrasound system, and SiteLink is configured to group patients by user, patient data is stored in a folder by user name and then grouped by patient name. Store Images by Patient Name Store Images by User Name 1 2 3 1 2 3 4 5 6 Press the Patient key. Select New from the on-screen menu. Enter information in the appropriate fields. Press the Patient key. Select New from the on-screen menu. Enter information in the appropriate fields. Select More from the on-screen menu. Enter information in the User field. In SiteLink, make sure that Group Patients by User is selected. See "Specify Location" on page 15. Within user folders, each patient's data is stored in separate folders according to patient name and ID.

Click the desired image format (BMP or JPEG). Click the desired image quality (High, Medium, or Low). Click the desired video format (Bitmap or MPEG-4). · For maximum image quality, SonoSite recommends using the bitmap format and high image quality. · To reduce image size, SonoSite recommends using MPEG-4.

Specify Location

The root directory is the location where all the image data will be stored. The default location is C:\SonoSite\. 1 From SiteLink Image Manager, select the Configure menu. 2 On the Configure menu, select Image Files Location. 3 Enter a new location or select the desired directory (folder). 4 Select Group Patients By User if you want to store patient data in folders identified by MicroMaxx user. Note: MicroMaxx user is determined by the User field in the patient information form. See "Set Up Patient Information" on page 13. 5 Click Save. 6 Click Yes to accept or No to cancel.

From SiteLink Image Manager, select the Configure menu. On the Configure menu, select Use TCP/IP Port, Use USB Port (Windows XP or 2000 only), or Use CompactFlash. See Figure 5, Figure 6, or Figure 7. · If connecting to TCP/IP through a network, enter the IP address in the dialog box. Each IP address (in standard IP format) must match the IP address entered in the ultrasound SiteLink Ethernet setup. Five ultrasound systems may be connected to a network. See "Configure SiteLink" on page 13. · If connecting to TCP/IP, determine the IP address that the PC or laptop can connect to on the MicroMaxx. Enter that IP address into both the MicroMaxx setup and SiteLink setup. See your network administrator if necessary. · If using CompactFlash, select the drive where the CompactFlash reader is located. Click OK.

From SiteLink Image Manager, select File and then select Exit. Note: If using SiteLink frequently, SonoSite recommends minimizing the application and letting it run on your PC.

Images are archived from the ultrasound system to a PC using a USB, Ethernet connection, or CompactFlash card. Images are transferred from the ultrasound system using the mini-dock or docking system. Note: Only one ultrasound system can be connected at a time. To use SiteLink, see: "Ultrasound System" "SiteLink Image Manager" "Patient List on MicroMaxx" "PC Directory" "Image Archiving"

Double-click on the SiteLink Image Manager 3.4.5 shortcut to start. · Once the hardware and software are installed, images are automatically archived when the following items are completed. · Ultrasound system is turned on. · Ultrasound system is configured for SiteLink. · Patient exam is closed. · SiteLink is running. · Images on the CompactFlash card cannot be viewed directly from a CompactFlash reader. They must be archived to a viewable form by SiteLink. · Upon completion of an exam archive, SiteLink automatically begins to archive the next patient exam. · Images may be deleted from the system CompactFlash card. See "Archive Using CompactFlash Card". They may also be manually deleted in image review from the ultrasound system. · If SiteLink determines that image files are already present on the PC, it skips over those images and proceeds to the next file. · After images are transferred using Ethernet (TCP/IP), SiteLink automatically advances to the next system on the TCP/IP Socket Configuration list. See "Specify Connectivity" on page 16.

View Patient List

Press the Review key. If there is a current patient, select List from the on-screen menu. · Images are saved to the CompactFlash card. The images in the patient list are organized alphabetically by the patient name and ID. · SiteLink archives all patient exams that are pending archive within the ultrasound system, excluding the current patient. · Patient exams that are not checked off are pending archive. · Individual images may not be selected for archive, only complete patient exams. · The current patient exam within the ultrasound system cannot be archived until that exam is closed. Select desired patient from patient list. Select Delete from the on-screen menu. A confirmation screen is displayed.

Images · SiteLink stores images into a hierarchy of patient and exam folders using the following information: Patient Name and Patient ID, Exam Date, and Time of Image Save. · Images may be stored in folders grouped by MicroMaxx user name. See "Specify Location" on page 15. · The application automatically generates numbers to uniquely identify the exam date and image file name. · Images will remain on the system CompactFlash card. They may be deleted manually in image review on the ultrasound system. · When using a CompactFlash reader to archive images, an option to delete images is available. · Images are archived to the PC, but they cannot be sent back to the ultrasound system. · If SiteLink is interrupted prior to completing the archive of all images for that exam, the application automatically deletes the incomplete set of images on the PC. The Patient name directory remains in place; however, that particular exam will be removed. The images on the ultrasound device are not automatically deleted. View Report Note: Patient images in PDF format should not be used for diagnostic purposes. Important subtle details may be lost or may not be visible. 1 Double-click My Computer icon on desktop. 2 Click Local Disk (C:), and then click SonoSite. 3 Select the desired patient and exam folder. 4 Open PT_REPORT.HTML or PT_REPORT.PDF to view the patient report. · To open the HTML report, double-click it or drag it to the browser (e.g., Internet Explorer). · To open the PDF report, double-click it or drag it to Adobe® Reader®. Image Archiving

WARNING:

To prevent loss of patient images or mixing of patient images, always enter the correct patient name and unique ID and verify that the system date and time are correct.

Enable Automatic Archive

As soon as SiteLink is started, the connection between the PC and ultrasound system is automatically made. If an ultrasound system is not connected, the application will continually check the ultrasound connection. Note: If needed, press the Suspend/Disconnect button to stop all communication using the USB port. After suspending, press Reconnect to activate communication. 1 If not already running, double-click on the SiteLink Image Manager shortcut. 2 Verify the ultrasound system is turned on and hardware is connected. 3 Verify connection icon is present on the ultrasound system (on right side of screen). See Table 1, "Connection Status Icons" on page 21. Any saved images which have not yet been archived will automatically begin archiving. Once archived, a check mark appears to the left of the patient's name. Note: New patient exams are archived when the exam is closed. Exams are closed by creating a new patient or ending the exam. If the ultrasound system is not connected when an exam is closed, it will automatically archive when connectivity is established. Note: A pop-up error message appears if the image being archived contains a data error. Additionally, several other pop-up error messages may appear to communicate the state of the application. Note: Images will not be archived until the exam is closed. 1 2 3 4 If not already running, double-click on the SiteLink Image Manager shortcut. Verify the ultrasound system is turned on and hardware is connected. Verify connection icon is present on the ultrasound system (on right side of screen). See Table 1, "Connection Status Icons" on page 21. Press the Review key on the ultrasound system. or, If there is a current patient, select List from the on-screen menu. Select an individual patient exam or Select All from the on-screen menu. Select Archive from the on-screen menu. (Any checkmarks will be removed.) Once archived, a check mark reappears to the left of the selected patient's name.

WARNING:

To prevent loss of data, (e.g. images/clips), or damage to the CompactFlash card, always turn the ultrasound system off before removing the CompactFlash card. If the CompactFlash icon and image and clip counters are not displayed in the system status, the CompactFlash card may be defective. Turn the system off and replace the CompactFlash card. The CompactFlash card may be restored if it is formatted on a PC. Formatting the card will erase all data. However, if the card is physically damaged, formatting will not restore it.

Caution:

Archive Using 1 CompactFlash 2 Card 3 4

Remove CompactFlash card from ultrasound system. Insert CompactFlash card in CompactFlash reader. Open SiteLink. Click Archive. An alert dialog box is displayed. Select the desired option. · If selecting "Delete images after archiving," only those images to be archived are deleted after the archiving process is complete. · Images that were previously archived are not deleted from the CompactFlash reader. The images may be deleted from the ultrasound system. See "Delete Images" on page 22.

From SiteLink Image Manager, select File and then select Exit. Note: If using SiteLink frequently, SonoSite recommends minimizing the application and letting it run on your PC.

Moving Image Files

When using SiteLink to download SonoCalc IMT images, you must keep the data and report files associated with image files together. If you need to move image files, for example, from your C Drive to your D Drive, be certain you move the entire Study folder for that patient. The Study folder contains image files (for example, 07.03.25hrs_{0004726}.bmp), patient demographics files (for example, PT_PPS.XML), clip metadata files (for example, C0004726.XML), and report files (for example, REPORT.XML). Do not remove from the folder, copy, or modify any of these files.

WARNING:

To avoid loss of patient information, use extreme care when moving patient images once they are transferred to your PC. Improperly moving image files may cause errors in SonoCalc operations. If you must move individual patient images once they are transferred, follow the Move Image Files procedure below.

Select the Patient folder. Open the Study folder with the appropriate study number and view existing files. Close the Study folder. Copy the Study folder. Paste the Study folder in the new location. Open and verify that all files transferred. Return to the old file location and delete the original Study folder.

Troubleshoot

Verify the ultrasound system is turned on. Verify the ultrasound system is properly installed in the mini-dock/docking system. Verify the mini-dock/docking system has AC power. Verify the mini-dock/docking system is properly connected to the PC. Verify USB or Ethernet is enabled. The PC's support for use is enabled in the BIOS and/or the networking control panel. (See the manufacturer's operating instructions for PC setup/BIOS configuration.) (Windows Vista) Verify that you are connecting by Ethernet and not by USB. Verify desired connectivity is selected (TCP/IP, USB). All patient images must be archived and converted to a Microsoft Windows format using SiteLink. Images on the CompactFlash card cannot be read directly on a CompactFlash reader. See your network administrator for a connection that is refused or is slow.

PC will not transfer images from the ultrasound system.

Solution Verify the ultrasound system version supports viewing patient reports. See "View Report" on page 23. Close the current patient exam. Verify USB or Ethernet cable is properly attached. Verify USB driver is installed and operating correctly. Verify SiteLink is running. Determine if images have already transferred, identified by a check mark in the patient list. Must manually select patient exams and rearchive images. Verify that CompactFlash card is inserted in CompactFlash reader. Verify that SiteLink is configured for CompactFlash. Verify that SiteLink is configured for the correct drive letter where the CompactFlash reader is located. Verify that the CompactFlash reader is plugged in. Verify that Windows recognizes the CompactFlash reader. Verify that CompactFlash reader is connected and CompactFlash reader software/drivers have been installed. Verify that a card is inserted in CompactFlash reader. Verify that CompactFlash reader is plugged in. If connected to a LAN, verify that both the PC and ultrasound system are still connected to the network. If connecting directly to a PC, verify that the Ethernet crossover cable is connected. See your network administrator for a connection that is refused or slow. Try to transfer the images again. If the problem continues, contact SonoSite Technical Support.

Archiving images to a second PC and they are not archiving. PC will not archive images from the CompactFlash card.

Cannot configure CompactFlash.

A timeout message appears on the status bar, and SiteLink resets to its initial state.

A transfer error occurs.
