DataBridge Overview

DataBridge is Travelclick's data exchange platform which automatically facilitates the flow of information between iHotelier (CRS) and the Property Management System (PMS). DataBridge is a powerful reservation tool that provides the property with advantages of timely data exchange. This reduces manual processes.

DataBridge benefits include:

Transmission of reservations into the PMS

The DataBridge interface facilitates reservations into the Property's PMS from iHotelier Central Reservation System. This can include reservations from GDS, the property's website and other distribution channels. Depending on your PMS interface capability, reservations and confirmation numbers from PMS can also be sent over to iHotelier. More details are available in the Supported and Unsupported Items section.

Message tracking capabilities via iHotelier reports

DataBridge uses a message format to send data between the CRS and PMS. DataBridge One-way interface includes reservations messages that flow from the CRS to the PMS and message content can vary based on the property's PMS version. This information is contained within the Appendix, and to determine the appropriate appendix refer to the Supported and Unsupported Items section.

One-Way Interface

The following diagram shows the DataBridge One-Way Interface information flow. Reservation delivery information passes in both directions between your PMS and iHotelier CRS.

The DataBridge one-way interface is limited only by the available functionality of your own PMS. It is important that you know the specific data that passes between your own PMS version and iHotelier CRS. For example, not all PMS interfaces are able to provide a confirmation with their PMS Response* for new reservations. To determinate if your PMS provides confirmation numbers to iHotelier please refer to Supported and Unsupported Items, column Confirmation Number.

DataBridge Hardware & Software

DataBridge hardware and operating software is part of the implementation package from Travelclick, but it becomes responsibility of the property once received. DataBridge software is provided, managed, and supported by Travelclick. The property is responsible for performing the local implementation of any hardware or network setup. IMPORTANT: The license for the antivirus software is valid for one year. After the first year, the property is responsible for keeping the license current. Preferred antivirus software is Symantec Antivirus Corporate Edition.

DataBridge PC Information

The following describes the hardware specifications of the DataBridge PC and the software installed.

Security Information

· · · · · · DataBridge PC is not a web-based application and is not accessible via the Internet. DataBridge PC requires ability to establish outbound connections on ports 80 and 443. Same requirements as any web browser. DataBridge PC does NOT require opening inbound ports in your corporate firewall. Firewall (software based) blocks unauthorized inbound and outbound network access. Antivirus software is always running on PC. Virus definitions are frequently updated automatically during the first year. Security patches are applied quickly and transparently. All data transferred between Travelclick and the DataBridge PC is encrypted using 128-bit SSL connections.

DataBridge Setup

Following are the PC's implementation steps you need to complete at the property: 1. DataBridge PC must be powered on 24/7. Determine a suitable location for the PC such as a server room. Travelclick recommends attaching a monitor and keyboard to the DataBridge PC (which it is not included) otherwise, set this machine up with a KVM (keyboard, video, and mouse), switch to share monitor and keyboard with other existing equipment. 2. Connect the PC to the same network as the PMS and turn it on. The DataBridge PC is configured to use DHCP to automatically acquire an IP address on the local area network (LAN). NOTE: If your network does not have DHCP you will need to manually log in to DataBridge and configure the PC to work with your network. Go to section How to configure the DataBridge PC with your network below and follow the steps to do this. 3. Send an email to your Travelclick Implementation Manager with notification the PC has been installed and is ready for operation.

How to Configure the DataBridge PC with Your Network

This step is only required if your network does not have DHCP. To perform the following steps, you will need to connect a monitor to the PC if this was not done during DataBridge set up. 1. Login in to the DataBridge PC. Travelclick provides the user name and password to the property.

Note: The password should NEVER be changed otherwise the interface does not work. 2. Disable DHCP Client. 1. Click the Window Start button in the lower left corner. 2. Highlight Settings to show the Settings sub-menu. 3. Click Control Panel. 4. On the Control Panel window, double-click Administrative Tools.

5. On the Administrative Tools window, double-click Services.

6. On the Services window, right-click DHCP Client and select Properties.

7. When the DHCP Client Properties dialog box display, select the General tab. 8. Click the drop-down arrow for Startup Type to display the selections. 9. Click Disabled

10. Click the Apply button. 11. Click the OK button. When you click OK, the DHCP Properties dialog box closes and the new setting is applied. Close all other windows that opened during the process.

How to Restart DataBridge Computer

If you are asked by Travelclick to reset the DataBridge computer, refer to the section below that apply to you and follow the steps to do this.

If you do NOT have monitor and keyboard

Turn off the machine by pressing the power button and after 60 seconds turn it back on. Without a monitor there is no way to validate that DataBridge agent is restarted.

If you have a monitor and keyboard

1. Click Start button. 2. Select Shut Down button.

3. From the Shut down Windows pops-up screen, select Restart.

4. When the DataBridge computer is restarted verify the DataBridge agent has also restarted. The following window should appear on the monitor.

Best Practices

Use the following DataBridge Best Practices to ensure the best performance for your interface.

Daily Best Practices

Review your PMS Interface Report

This report is best used as a quick overview of reservation transactions and whether the interface has been successful. It informs you of errors that occurred during the processing of the reservations. Many errors can be easily corrected and the reservation resent successfully. · Confirm the overall status of reservations that have been generated through the CRS and whether they have been processed successfully into the PMS.

Best Practices recommend that when the PMS Interface shows errors that you go to the Interface Message Report which may contain additional information on the status of your interface. Refer to iHotelier Reports for PMS for details on how to generate this report

Review your Interface Message Report

This report should be reviewed daily and is best used to ensure that you are immediately aware of any issues with messages passing through your interface. It provides a status for each message which can help you monitor the processing length of time or help you determine why a message was not successfully processed. The following list provides you with the meaning of each status. Refer to section Handling Interface Message Error/Warnings for required actions to process any exceptions: STATUS Error (E) MEANING Transaction did not process successfully. ACTION Check the column labeled "Error Description" for a summary of the error that caused the failure and perform the recommended action from the section Handling Interface Message Error/Warnings. Check the column labeled "Error Description" for a summary of the iHotelier warning message as well if available click in the "Result" link in the Type of message column for the details that caused the failure and perform the recommended action from the section Handling Interface Message Error/Warnings. Check both sides of the interface. Recommended action: Restart both PCs.

Warning (W)

Transaction did not process successfully.

Pending (P)

Transaction is pending and has not yet been pulled by iHotelier Interface or has not been processed by PMS. Transaction processed successfully. Transaction has been removed.

iHotelier Admin Reports for PMS

To monitor the DataBridge transactions iHotelier provides two reports. These reports should be monitored daily to ensure successful operations.

PMS Interface Report

The "PMS Interface" report will provide a detailed review of all reservation messages that have passed through the DataBridge interface. This report will also inform you of errors that occurred during the processing of the reservation. Many errors can be easily corrected and the reservation resent successfully.

How to Access the PMS Interface Report Page from iHotelier Admin

Reports > Reports > PMS Interface The following list displays:

Field Descriptions: PMS Interface Report

Screen Item Book Cancel Confirm Description Date the reservation was booked. Date the reservation was cancelled. iHotelier confirmation number assigned to the reservation. Click the Confirmation number to transfer to the Reservation Information form. In Out Check-in Date. Check-out Date.

Screen Item Guest Name Description Guest Last name followed by first name. Click the Guest Name to transfer to the Guest Reservation History form. City, St PMS Confirm Guest address city and state only. A successful download to the PMS results in a PMS confirmation number, which is noted here. Not all PMS return confirmation numbers to iHotelier. Please refer to the Supported and Unsupported Items column Confirmation Number to determinate if your PMS version provides confirmation number to iHotelier. PMS Error An error message is noted on the report if the PMS download fails. To see the details, click the Error link. Last Download History The most recent date this reservation was downloaded to the PMS. Every time a reservation is transmitted to PMS the system generates 2 history events. Every event is updated dynamically. Event 0: Reservation not sent to the PMS Event 1: iHotelier sent a reservation, but the PMS has not acknowledged the transmission. Event 2: the PMS has acknowledged the reservation. To see the details of each PMS Interface download, click the events link to display the PMS Interface Report. Example follows. This is an example of the event history details page.

Use the "Resend" link when a reservation does not go through to the PMS to retry the record transmission. Note: For reservation records that are PENDING, verify that the record was not already received by PMS before resending. After DataBridge delivers a reservation message to the PMS for processing it searches for an acknowledgement response record from PMS for a period of time that corresponds to that reservation file. Sometimes PMS processes the reservation but does not send the acknowledgement. In this case resending will cause duplication. Always check PMS before resending.

How to Generate a PMS Interface Report

The PMS Interface report displays in the main window. The report defaults to display reservation messages transmitted to the PMS today.

You may filter the report by modifying the criteria fields at the bottom of the page.

Interface Message Report

This report displays messages of each transaction DataBridge facilitates between iHotelier and PMS. It can include iHotelier reservations, rates, restrictions and availability depending on your interface level. In addition, it includes the message receive status (pending, success or failure). The report includes errors that occur during the data transfer, allowing you to correct the error and resend the reservation to the PMS. The following section reviews the processes used to generate and review the Interface Messages report. Key Benefits: · · · · · Provides you to view all message types passed through the interface. Provides detail on the status of each record irrespective of the originating system. Provides error or warning messages on the cause of message failure. Enables you to quickly address differences in key information between the two systems (rate codes, group codes, etc.). Enables you to easily resend messages.

The confirmation number in iHotelier. The confirmation number in PMS. Description of the error/warning that caused the failure. Go to Handling Interface Message Error/Warnings section for recommendations to resolved error messages. Error (E) ­ Status reflects a transaction that has not processed successfully. Check the column labeled "Error Description" for a summary of the error that caused the failure. Warning (W) - Status reflects a transaction that has not successfully processed. Check the column labeled "Error Description" for a summary of the iHotelier warning message as well if available click in the "Result" link in the Type of message column for the details that caused the failure. Pending (P) ­ Status reflects transactions that are pending and have not yet been pulled by iHotelier Interface or have not been processed by PMS. In this instance, check both side of the interface. Action: Restart both. Success (S) ­ Status reflects a successfully processed transaction. No action required Cleared (C) - Status reflects the transactions had been removed.

Check Mark Retry

Only displays for pending status transactions and allows selection to be removed. Click this link to re-send any type of transaction to PMS. Only displays for reservation message type.

Clear Selected Error

This button allows you to remove pending transactions from iHotelier Interface. Click the Excel icon at the top right corner of the report to download the report to a file.

Handling Interface Message Error/Warnings

The following is a list of all Error/Warning messages generated by DataBridge. It includes the cause and any action you need to take to resolve the error. For actions required within iHotelier, refer to iHotelier Operational Activities section for complete procedures. Note: If your PMS returns PMS errors they will also reflect in the iHotelier Admin Interface Message Report. However, how to handle PMS errors is not included in this document. You should refer to your PMS documentation for direction on how to monitor and handle errors. DataBridge Error/Warnings iH Warning: Reservation import is not enabled for this hotel. This data will not be updated in iHotelier. iH Warning: WARNING No records found for this sequence number. 1-Way X Cause PMS sends reservation or profile messages to iHotelier, but the hotel is not configured to receive the reservation or profile message. This is typically caused by a memory deficiency on the DataBridge server at Travelclick Client Action Contact your PMS to have the function disabled.

No Action required by property as long as there is a PMS confirmation number associated to the iHotelier confirmation number. Note: This error message only will be generated if we are receiving a response message from the PMS that contains both confirmation numbers.

Check the rate plan code in both iHotelier and the PMS to make sure they are the same. If there is a mapping function within the PMS, this should be checked. Leave it or change the rate plan name to less than 50 characters in the PMS.

How to Re-send a Message to PMS using the PMS Interface Report

Frequently Asked Questions

Q: Where can I go to see if my interface is working properly? The PMS Interface and Interface Message Report will provide a detail review recent messages that have passed through DataBridge Interface.

Q: What causes DataBridge agent stop running? · · · A new/different user logging on to the DataBridge PC will cause the DataBridge application to stop. If the Scheduled tasks that get set up to stop and restart the DataBridge application on a daily basis are not set up or are set up with the incorrect user and password, the application will stop. The DataBridge window may get closed inadvertently due to someone not knowing what it is and clicking on the "X" in the top right corner of the application.

Q: How to fix the DataBridge agent when it stops running? If you don't have a monitor or keyboard, turn off the DataBridge PC and after 60 seconds turn it back on. If you have a monitor and keyboard, on the DataBridge PC desktop find and double-click the "DataBridge Agent" turquoise icon. This will enable the processing of messages. If the DataBridge application is stopping frequently, contact DataBridge support to look in to why this is occurring.

Troubleshooting

Symptom: Modified or cancelled reservations are not being sent to the PMS Check both PMS and DataBridge interfaces are running. Access the "Interface Messages" report in iHotelier administration and see if the initial booking record for the modified/cancelled reservations is in a pending state. If the initial records are in a pending state, and resending them will not cause a duplicate record in the PMS, resend the original reservation and wait for the response from the PMS. Once this has been received, the modifications/cancellations can be resent as well for processing.

Symptom: iHotelier Confirmations duplicated in the PMS The property should contact Customer Care so that they can determine why there are duplicate records being entered.

Symptom: Packages are not interfacing Access the "Interface Messages" report in iHotelier administration and look for the package reservation that did not process correctly. Once found, review the error message for insights as to why.

Symptom: Some reservations are downloading without GTD, Payment Type Verify that the guarantee types set up in iHotelier are also set up in the PMS. If the guarantee type at issue is in both the PMS and iHotelier, check that the same code is set up in each system. If not, check the correlation table in the PMS to ensure that the value sent from iHotelier is set up to map to one of the recognized values in the PMS. Many PMSs have the option of setting up a "default" value for codes that are not recognized. This should also be done for added insurance if the feature is available.

Symptom: Messages are processing but not showing in Admin Call Customer Care for assistance.
